• Rental applications — full legal name, date of birth, Social Security number, employment history, income, prior addresses, references, and authorization for credit and background checks
• Tenant portal account information — username, password, lease documents, payment history, maintenance requests, and communications with our property management team
• Payment information — bank account details for ACH transfers via the tenant portal, or transaction details when paying through PayPal
• Vendor registration — business name, Tax Identification Number (W-9), Texas state license, certificate of insurance (COI), workers' compensation documentation, and professional references
• International buyer inquiries — name, contact information, country of residence, and property preferences when inquiring about properties in Italy or France

Information Collected Automatically

• IP address, browser type, operating system, device type, and screen resolution
• Pages visited, time spent on pages, referring website, and click activity
• Approximate geographic location based on IP address
• Cookie identifiers and similar technologies (see Section 4)
• MLS search queries and property views on the listings sections of our site

Information from Third Parties

• Property listing data from the Houston Association of REALTORS® via the Bridge HAR Listings API
• Mapping and location data from Google Maps
• Background and credit check results from authorized screening providers (when you submit a rental application)
• Identity verification information from third-party verification services where applicable

How We Use Your Information

• Payment processors — PayPal (for rent payments) and the tenant portal banking system (for ACH transfers)
• Hosting and infrastructure — our website hosting provider and pCloud (where listing media and backups are stored)
• Form and email services — Contact Form 7, WPForms (vendor registration), and our email service for inquiry handling
• MLS data provider — Bridge / Houston Association of REALTORS® for listing data
• Mapping — Google Maps for property location display
• AI assistance — Chatling for the website chat assistant; conversations may be reviewed to improve service
• Background and credit screening — authorized providers for rental applicant verification
• Maintenance vendors — only the information necessary to dispatch and complete a service request at your unit

Legal and Compliance

• To comply with subpoena, court order, or other legal process
• To respond to lawful requests from government authorities
• To enforce our Terms of Use or protect the rights, property, or safety of Rinnovare, our tenants, or others

Business Transfers

If Rinnovare Realty is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. You will be notified before your information becomes subject to a different privacy policy.

Cookies and Tracking Technologies

How Long We Keep Your Information

• Lease and tenancy records — retained for the duration of your tenancy plus the period required by Texas law and our broker record-keeping obligations (typically a minimum of four years after lease end)
• Vendor records — retained for tax and audit purposes (W-9, 1099, COI) per IRS and state requirements
• Rental applications — denied applications retained for the period required by Fair Housing record-keeping rules
• Website analytics — typically retained in aggregated form for up to 26 months

When information is no longer needed, we securely delete or anonymize it.

Your Rights and Choices

Depending on where you live, you may have the following rights regarding your personal information:

• Access — request a copy of the personal information we hold about you
• Correction — request that we correct inaccurate or incomplete information
• Deletion — request that we delete personal information, subject to legal retention requirements

Texas Residents
